1. Administrative Clerk

  • Open Period : 01/03/2025 – 01/24/2025
  • Salary : IDR Rp125.135.231 /Per Year
  • Duty Location(s) : 1 Vacancy in Medan, Sumatra, ID

Duties:

  • The incumbent performs wide variety of administrative support services to the Facility Management Section. S/he is responsible for planning and executing administrative functions that include personnel, budget, procurement and supply, quality assurance, and database management. Supervised by the Local Facility Manager, s/he serves as staff office manager and directly supervises one gardener and one Janitor.
  • The incumbent functions as the primary point of contact for customers at the Consulate for maintenance operations in the New Consulate Compound (NCC). S/he performs customer service duties such as setting up appointments, receiving and tracking complaints, and following up with customers on the status of their work repair requests referring to the Global Maintenance Management System (GMMS). The incumbent also serves as the A/POSHO (Assistant of Post Occupational Safety and Health Officer) in coordination with the POSHO at post and at the embassy to assist in managing the post safety, health, and environmental management (SHEM) program.

Qualifications and Evaluations :

Requirements:

  • All selected candidates must be able to obtain and hold a: 
    • Public Trust- Background Investigation security clearance.
  • All selected candidates will be subject to a background investigation and may be subject to a pre-employment medical exam.  
    Selected candidate must be able to begin working within a reasonable period of time 4 weeks upon receipt of agency authorization and/or clearances/certifications or their candidacy may end.

Education Requirements:

  • Minimum two years post-Secondary studies at the College/University level.

Experience:

  • Two years of experience in the maintenance or construction field performing repair work or providing administrative support in a maintenance or construction field is required.

Language:

  • English and Bahasa Indonesia – Good working knowledge in speaking, reading and writing.

2. General Service Support Coordinator (Administrative Clerk)

  • Open Period: 01/03/2025 – 01/17/2025
  • Salary: IDR Rp125.135.231 /Per Year
  • Duty Location(s): 1 Vacancy in Jakarta, Java, ID

Duties:

  • This position functions as the strategic administrative lead for the General Services Office (GSO), exercising a high degree of autonomy to oversee and enhance the GSO’s administrative operations. The role demands proactive leadership in optimizing administrative processes, fostering a collaborative work environment, and resolving issues to ensure the section operates at peak efficiency. In this critical position, the Administrative Assistant serves as the principal liaison for GSO customer service and monitors workorders and workflows, managing key relationships with internal and external stakeholders, including Office and Mission staff, contractors, Implementing Partners (IPs) and grantees, host-government officials, the Embassy, and other high-level customers.
  • The Administrative Assistant is entrusted with the strategic coordination and dissemination of information related to the sections’ activities, ensuring that communication is consistently timely, accurate, and reflective of the section’s standards of professionalism. 

Education Requirements:

  • Completion of two years of college studies is required.

Experience:

  • One years of experience in secretarial / administrative positions.

Language: 

  • Good working knowledge in speaking, reading and writing in Bahasa Indonesia and English
