Department of Foreign Affairs and Trade – Events Manager

About The Department of Foreign Affairs and Trade : 

  • The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally.  This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.  The department provides foreign, trade and development policy advice to the Australian Government.  DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the position :

  • The Events Manager works under broad direction to oversee and coordinate multiple activities and events such as, high-level visit programs, information sessions, functions and cultural exchanges to promote Australia’s positive image and culture, and further Australia’s interests in East and Central Java. The role is responsible for managing the whole events process including planning, budgeting, promotion, internal coordination, operation of the event itself, media management and preparation of post-event evaluation and reporting. The role requires coordination with different stakeholders including the Australian Embassy Jakarta. The role builds strong networks of influence with key stakeholders, including the provincial governments, Indonesian media and cultural institutions. This position is based in Surabaya and may include undertaking frequent domestic travel to support the Consul General.

The key responsibilities of the position include, but are not limited to:

  • Provide high-level analysis and timely advice on key political, economic and security developments in East and Central Java.
  • Prepare talking points, speeches, remarks and PowerPoint presentations. Assist in the preparation of cables, diplomatic notes, letters and other correspondence, and conduct research as required.
  • Plan, coordinate and manage high-level visit and event programs, including on-the-ground support for senior officials, ensuring seamless delivery of logistics, protocol, accommodation, transport, security, communications and media arrangements.
  • Build and maintain internal and external networks and relationships with a range of key stakeholders, including Embassy branches, the provincial government, Indonesia-Australia Business Council, Indonesian Universities and schools, religious groups, Australian businesses and local mainstream media.
  • Develop a detailed annual proposal for Consulate events that promote Australia’s positive image and culture, and further Australia’s interests in East and Central Java.
  • Assist with the Consulate’s social media engagement and platforms, including production of content in the absence of Post’s PD officer.
  • All staff will be expected to help provide consular services during a crisis and perform other duties as directed

Qualifications/Experience :

  • Experience managing high profile visits, tours, and organising promotional activities/events, ideally for the Australian Government or other governments.
  • Excellent communication skills with proven ability to engage and influence senior stakeholders, balance competing priorities and negotiating favourable outcomes.
  • Exceptional planning, resource management and organisational skills, with the ability to deliver outcomes under pressure and to manage a range of competing priorities under limited supervision.
  • Ability to speak English at a professional level (IELTS 6.5 or above).
  • Demonstrate excellent analytical and writing skills in English and Indonesian.
  • Have a clear understanding of Australian foreign, trade and development policy objectives in Indonesia.
  • Maintain a high level of confidentiality and discretion.
  • Extensive work experience in a similar role.
  • Tertiary qualifications in a relevant field, including (but not limited to) events management, international relations, economics, politics, development studies, business or commercial studies.
  • Relevant international experience and/or education qualifications will be viewed favourably.
